What happens to my data in SU AI tools?
Overview
Signed in with your NetID, your chats are covered by SU's contracts: they aren't sold or used to train AI models. Authorized IT staff can see stored chats to support and secure University systems, and the people who build a Clementine assistant can read chats with it. Claude keeps all chats for two years, including deleted ones.
Who can see your chats

| Logged under University policy | Yes | Yes |

Nobody reviews your individual Claude, Copilot or Gemini chats to improve answers. You own what you put into these tools and what they create. IT staff access follows SU's Information Technology Resources Acceptable Use Policy.
What data you can put in
- Claude and Copilot: signed in with your NetID, you can use them with all classifications (sensitivity levels) of University data, following SU's data handling policies.
- Gemini Gems and shared Claude Projects: keep restricted or confidential data, such as graded assignments, exams or student records, out of any Gem. Google is replacing Gems with skills, and a Gem's files move into its skill, so keep that data out of skills too. Check what you uploaded to a Claude Project before you share it.
- Downloads: you can use these tools on a personal device, but download or save confidential University data, such as student records, only on a University-owned device.
Tool by tool
Claude
Keeps your chats, projects and uploaded files for two years, including chats you delete and Incognito chats.
Copilot
Saves your chats, including Temporary Chats, in a hidden folder in your Microsoft 365 mailbox.
Gemini and Gemini Notebook
Google doesn't have people read your chats, and it doesn't use your chats or uploads to train its AI models.
Clementine and shared Agentic OS agents
The team that built each assistant can read your chats with it, and your ratings, to fix wrong answers and improve it. The models behind these assistants, such as Claude and Gemini, are still covered by SU's contracts, so neither the companies that make them nor IBL, which makes Agentic OS, train their models on your data.
Tips
- Sign in with your NetID. SU's protections apply only while you're signed in with your SU account. They don't cover a personal or free AI account.
- Use SU's approved AI tools (opens in a new tab) for University work, and keep University data out of other AI tools.
- Delete chats you no longer need. In Claude, deleting hides them from you and removes them from Claude's memory of you.
- Keep a one-off question out of your history with an Incognito chat in Claude, or a Temporary Chat in Copilot and Gemini. They still follow each tool's storage rules above.
- Change what Claude remembers about you at claude.ai/settings/features (opens in a new tab).
